Prepare a decision brief

Use AI to organize evidence you have already approved. Ask it to separate facts, assumptions, options, and open questions. This makes the missing work visible before a meeting without asking the model to choose for you.

  • “Using only these notes, create a one-page brief with decision, evidence, options, risks, and unanswered questions.”
  • “Mark any statement that is not supported by the notes with [VERIFY].”

Prepare communication without outsourcing the relationship

AI can help structure a project update, delegation note, or meeting agenda. Give it the audience, purpose, required facts, and tone. Write sensitive feedback and difficult personnel messages yourself because the relationship and consequences depend on context the tool does not hold.

  • “Turn these approved points into a short update. Put the change, impact, and requested action first.”
  • “Write an agenda that ends each topic with the decision or owner required.”
  • “Turn this task into a delegation brief with outcome, boundaries, resources, check-in date, and definition of done.”

Plan the week around responsibilities

Planning instructions should protect commitments rather than fill every open hour. Supply the deadlines and limits, ask for a proposed sequence, and check it against the people and work that cannot be moved.

Delete instructions that produce generic management language. Keep only the ones that reliably create a useful starting point with approved information.

Practise on real work

Build a manager instruction card

Choose one recurring management task and remove employee-identifying or confidential information.

Instructions to copy and change

Using only the approved information below, prepare a [brief, agenda, update, delegation note, or weekly plan]. The reader is [reader]. The outcome needed is [outcome]. Keep these constraints: [limits]. Separate facts, assumptions, and questions. Do not make the decision for me. Information: [approved notes].

Important details to check

  • Are facts separated from assumptions?
  • Does the answer leave the decision with a named person?
  • Have you removed confidential employee information?

Keep these points

  • Name the outcome, source, limits, and reviewer.
  • Use AI to prepare work, not to make people decisions.
  • Save only instructions that work repeatedly.
